Aramark Catering is the exclusive catering provider for Sam Houston State University. Contact us to design your perfect event with a menu crafted especially for you. We also service the Huntsville-Walker County community.

Aramark is also the authorized provider for alcohol at SHSU. TABC has changed their approval processes effective September 1, 2021, and it is imperative that your alcohol requests are submitted 30 days in advance of your scheduled event. This window allows Aramark the necessary time to receive approvals through TABC. This means your requisition must be fully approved and distributed to Aramark within the 30-day window. If you fail to submit your alcohol request within the 30-day window, your department WILL BE responsible for TABC fines that are assessed to Aramark which range from $300-$900 dollars, no exceptions. Order Online
We recommend placing your order at least 30 days in advance to ensure we can obtain food items by your timeline. The COVID-19 pandemic has put restraints on suppliers, and we cannot always guarantee items for a custom menu will arrive the next day or even the same week. We will make every effort to accommodate your request, but options may be limited if you do not allow for the 30-day advance notice. If we cannot meet your requests, we will provide you with alternative menu items we already have on hand. To order online, use the following instructions.
Create an account for CaterTrax
- Go to the catering website.
- Click “Account Sign In / Register” located at the top right.
- Click “Need an Account”
- Fill in all fields, including Department
- Check the box next to Tax Exempt
- Fill in your Tax Exempt Number
Place an order through CaterTrax
- Go to the catering website.
- Click “Select” next to each item you would like to order.
- Enter the number of guest for each item. If you’re unsure, enter an approximate and provide us a guaranteed count at least 3 days prior to your event.
- Click “Add to Cart” for each item.
- When your cart is complete, click “Cart” located at the top right.
- Click “Continue”.
- Select the date of the event.
- Select your delivery method.
- Enter contact information.
- Enter event details.
- Add Special Instructions if needed.
- Click “Continue”.
- Review Order Summary, then click “Continue”.
- Enter payment information.
- Click “Place Your Order”
- If you provide an approximate guest count, email us your guaranteed count at least 3 days prior to the event.
Create Purchase Order
If using a Purchase Order, you’ll need to complete the Aramark Catering Form in BearKatBuy. Use the following instructions to complete the form.
- Login to BearKatBuy.
- Click “Aramark Catering Form” form under Forms Our Organization Uses.
- Fill in each field.
- Scroll back to the top under Available Actions and click “Go”
- Click “Proceed to Checkout”.
- Submit Requisition.
What should I select for Direct Purpose?
To ensure your purchase meets TSUS guidelines, you must select the appropriate direct purpose code.

The support of student events and activities which are sponsored by the University.

The promotion of the exchange of ideas with community leaders regarding the University role in the community.

The assistance of the Regents, accrediting agencies, officials from other universities, and/or public officials in inspecting and/or reviewing facilities and programs.

The support of the University's program of continuing education.
What should I select for Specific Limitations?
To ensure the correct funding source is used, you must select the appropriate specific limitations code.

Funds expended for continuing education conferences, seminars, and short courses must have been included in the continuing education registration fees assessed.

Funds expended which were received from University concessions, student services fees, student organizations, and other auxiliary funds must have been previously budgeted.

Other locally generated income and auxiliary funds (not restricted to administrative, education and general, research, plant expansion, loan, endowment, or scholarship programs) may be used to the extent that they have previously been budgeted.

No funds under the control of intercollegiate athletics may be used to purchase alcoholic beverages.
Edit or Cancel Order
You must send menu additions and changes at least 5 business days prior to your event. Using the following instructions to edit or update your order.
- Login to the catering website.
- Click “Manage and Repeat Orders”.
- Click the Request Change icon under “Action”.
- Update information and/or menu selection.
- Update PO number located at the bottom, if necessary.
- Click “Send Change/Update Request”.
You must cancel your event or menu items at least 6 business days prior to your event. During holidays, adjustments in our charges will be made due to the additional labor cost. Events or menu items cancelled or changed after six business days will be subject to the following charges:
- 10% of the contracted amount if cancelled 4-5 business days prior to your event
- 30% of the contracted amount if cancelled 1-3 business days prior to your event
- 50% of the contracted amount if cancelled within 24 hours of your event
To cancel your event online,
- Login to the catering website.
- Click “Manage and Repeat Orders”.
- Click the Request Change icon under “Action”.
- Add a note to cancel the event.
- Click “Send Change/Update Request”.
